5. Patient Data & HIPAA Considerations

IlajDesk is designed to help clinics manage patient information. We understand the sensitivity of health data and take this responsibility seriously.

  • Data Ownership: All patient records, medical history, and clinical data entered into IlajDesk are owned by you (the clinic). We act as a data processor, not a data controller, for this information.

  • Data Portability: You can export your patient data at any time from the platform settings.
  • Termination: Upon account deletion or termination, we retain your data for a limited period as required for data export, then permanently delete it from our active systems.
  • PHI Handling: If you are a HIPAA-covered entity, a Business Associate Agreement (BAA) is available upon request and governs how we handle Protected Health Information (PHI).

6. Data Security

We implement reasonable and appropriate administrative, technical, and physical safeguards designed to protect your data, including:

  • Encryption of data in transit (TLS 1.2+) and at rest
  • Role-based access controls with unique user credentials
  • Regular security assessments and vulnerability testing
  • Automated audit logging of user actions
  • Secure cloud infrastructure with physical security controls
  • Employee security training and clean-desk policies

No method of transmission or storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

7. Data Retention

  • Patient Data: Retained as long as your account is active, or as required by applicable medical-record retention laws. You control when to delete patient records.

  • Usage & Log Data: Retained for up to 12 months for analytics and security monitoring.
  • Payment Records: Retained as required by applicable tax and financial regulations.
